An Ontario Notary Public verifies identity and watches the signer sign in person, then records the act with a signature and seal. Eligible affidavits and declarations use a separate remote-commissioning service under O. Reg. 431/20.
Quick answer
Signature Notarization can be commissioned online over a secure video appointment with an Ontario Notary Public under O. Reg. 431/20, or handled in person in Ottawa. The flat rate is $24.95 + HST and most appointments take 15-20 minutes.
Signature notarization records an in-person witnessed signing. The Notary Public verifies the signer’s identity using valid government-issued photo identification, watches the signer sign, and applies the appropriate notarial wording, signature, and seal. Minute Notary performs this Notaries Act service at the Ottawa office or by mobile visit. Eligible affidavits and statutory declarations may instead be commissioned remotely under O. Reg. 431/20. Neither act validates the document’s contents, makes an agreement enforceable, or replaces legal advice.

Why it matters
A receiving body may ask for a witnessed or notarized signature as evidence of who signed and when. Follow its current instructions for the type of witness and notarial wording. If it instead asks for an affidavit or statutory declaration, confirm whether remote commissioning is accepted. The notary does not verify the document’s facts, decide whether it is legally effective, or advise whether you should sign.
Straightforward process. Most appointments completed in minutes once we're face to face.
Attend the office or mobile appointment with the document complete but unsigned. Each signer whose signature will be witnessed must attend in person.
Each signer presents valid government-issued photo ID. The notary records identification details and verifies each person's identity.
The notary confirms that all signers understand the document's purpose and are signing voluntarily without coercion or undue influence.
Each party signs the document in the presence of the Notary Public. The notary observes and witnesses each signature.
The notary completes the notarial certificate, applies their official seal and signature, and the document becomes legally notarized.

Quick tips to make your appointment go smoothly.
The most common mistake is signing before coming to the notary. Documents MUST be signed in the notary's presence. Bring them completely unsigned.
Every signature being notarized must be made in person before the notary. Separate office or mobile appointments may be possible if the document and receiving body permit them.
Ensure your document is complete with no blank spaces to be filled in later. Notaries cannot notarize incomplete documents.
Notaries cannot explain legal terms or give advice about document contents. If you need legal guidance, consult a lawyer before your appointment.
