A Registrant Identification Number is a unique identifier issued by ServiceOntario that allows a corporation, partnership, or sole proprietorship to register motor vehicles in the business name rather than an individual's personal name. Without a RIN, the Ministry of Transportation cannot link a licence plate to a corporate entity, and the vehicle would have to be registered under a person's name instead.
The RIN is tied to the corporate entity itself. Once issued, it can be used to register multiple vehicles under the same business name without repeating the full application process each time.
Any business that wants to register a vehicle under its corporate name rather than a personal name must obtain a RIN through ServiceOntario. This is a routine requirement, not a special permit.
The sworn authorisation letter confirms your authority to act for the corporation and identifies the vehicle being registered. You will need all of this information before filling in the template or attending your appointment.
The letter must be signed by a person with authority to bind the corporation. This is typically an officer or director. An employee without signing authority cannot swear this letter on behalf of the business.
The notary will ask you to confirm your role and may ask to see supporting documentation such as a corporate profile report, articles of incorporation, or a board resolution appointing you as a signing officer.
Gather these documents before your notarisation appointment. The notary cannot help you fill in corporate details at the counter, so have everything ready in advance.
The notary verifies your identity, confirms you understand the contents and have authority to bind the corporation, administers the oath or affirmation, watches you sign, and completes the jurat. The process takes only a few minutes. Virtual commissioning is available under O. Reg. 431/20 if both you and the notary are in Ontario.
