Overview
About this document
- 01
What an Alberta bill of sale must include
Alberta's own guidance lists five things a private-sale bill of sale must have.
- The full name and address of each seller and each buyer.
- The vehicle identification number (VIN).
- The make, model or series, style, colour and year of the vehicle.
- The price.
- The signatures of both the buyer and the seller.
- 02
Details Alberta recommends
Alberta also recommends, but does not require, the odometer reading, the phone numbers and identification of everyone involved, any liens, whether the vehicle was paid for in full and how, and any special conditions of the sale. This template records the odometer, the payment method, a promise that the vehicle is free of liens, and an as-is condition.

Registering the vehicle in Alberta
To register the vehicle, the buyer brings a proof of ownership document, such as a bill of sale, along with proof of insurance and identification, to a registry agent. Alberta asks buyers to insure and register a vehicle bought privately as soon as possible. If you are moving your plate from a vehicle you sold, you can use your existing plate and registration on the new one for up to 14 days.
Service Alberta also publishes its own bill of sale form, REG3126, linked below. Besides the five required details, it has lines for the odometer reading and the seller's driver's licence or ID number. It asks that the buyer keep the original and the seller a copy, and that both initial any change. If you are unsure which to bring, ask the registry agent.
- 04
Is there sales tax on a private sale in Alberta?
Alberta has no provincial sales tax, so a private sale carries no provincial tax. If the seller is registered for GST, such as a dealer, GST applies, and the template has a place to record it.
- 05
Notarizing an Alberta bill of sale
Alberta does not ask for a bill of sale to be notarized or sworn. It recommends, but does not require, a witness who watches both parties sign in person; REG3126 has a line for one, and this template does not.
If the buyer, the seller or a lender wants it sworn, leave the PDF unsigned: it ends with a solemn declaration that a commissioner can take online by video, under Ontario's remote commissioning rules (O. Reg. 431/20). Ask whoever will rely on it whether a declaration commissioned in Ontario suits them.
