How it works

Prepare your document, one step at a time.

Answer the questions, choose the download you need, then continue with signing or booking.

  1. 01

Does equipment need to be registered?

Ontario's Highway Traffic Act does not treat a farm tractor, a self-propelled implement of husbandry or a road-building machine as a motor vehicle, so most equipment has no permit or plate. A self-propelled implement of husbandry driven on a highway for anything other than travel between farms for its farm work, or to and from repairs, does need a permit, and farm trucks and trailers are plated through ServiceOntario; ask ServiceOntario if you are unsure.

Ontario does not require a Used Vehicle Information Package for construction machinery or a heavy truck. It does require one for a light farm vehicle with an empty weight of 2,200 kg or less.

  2. 02

Before you pay: search for liens

Equipment is often bought on credit. Ontario suggests a search of the Personal Property Security Registration system before you buy used goods. If a lender has a registered claim, ask for a registered discharge before you pay.

  3. 03

    Sales tax on used equipment

Ontario's retail sales tax on private sales is collected when a specified vehicle is registered, and farm tractors and road-building machines are not specified vehicles. If the seller is registered for GST/HST, such as a dealer or a contractor selling business equipment, HST may apply, and the template has a place to record it.

  4. 04

What an equipment bill of sale should include

Besides both parties' full names and addresses, the price, how it was paid and the date of sale, write down what makes this machine different from any other of the same model:

    • The type of equipment, its make, model and year.
    • The serial number or PIN, and the hour meter reading.
    • Every attachment included, such as a loader, bucket or forks.
  5. 05

Having an equipment bill of sale sworn

Most equipment never goes through ServiceOntario, so the bill of sale is a record between the buyer and the seller.

If the buyer, the seller or a lender wants it sworn, leave the PDF unsigned: it ends with a solemn declaration that a commissioner can take online by video, under Ontario's remote commissioning rules (O. Reg. 431/20).

If you want a notary to witness the signatures instead, that is done in person, on a mobile visit where the notary comes to you anywhere in Ontario. Bring valid government-issued photo identification either way.

Frequently asked

Questions about the Equipment Bill of Sale (Ontario)

01
Does a tractor need to be registered in Ontario?
A farm tractor is not a motor vehicle under the Highway Traffic Act, so in most cases it has no ServiceOntario permit or plate.
02
How do I check for liens on used equipment in Ontario?
Search the Personal Property Security Registration system before you pay, and ask for a registered discharge if a lender has a claim.
03
Is there sales tax on used equipment bought privately?
Ontario's retail sales tax on a private sale applies to specified vehicles, and a farm tractor or road-building machine is not one. HST may apply when the seller is registered for GST/HST.
04
Does an equipment bill of sale need to be notarized?
No. It is a record between you and the buyer. A sworn declaration is extra, for a lender or anyone else who asks for one.
05
Can I fill in an equipment bill of sale online?
Yes. Type the details into the form on this page, then download the PDF and print it for signing.
