Fact sheet
The facts, as we publish them
Every line below is drawn from the pages the site already publishes, so what you quote matches what a client is told.
- What it is
- Minute Notary is a technology-driven online notary platform co-founded by Quan Nguyen and Kai Mai. It operates with multiple licensed notaries across Canada, serving individuals and businesses. Oaths, affidavits and statutory declarations are sworn and commissioned virtually over secure video before a licensed Ontario notary, for clients anywhere in Ontario and Canada-wide for federal documents, from a head office in Ottawa. Some documents are always signed in person with us — certified true copies, wills and powers of attorney — on a mobile visit, where the notary comes to you anywhere in Ontario.
- Legal basis
- Remote commissioning runs under Ontario Regulation 431/20. Appointments are with a Notary Public for the Province of Ontario who is also a Commissioner for Taking Affidavits (Commissioner of Oaths). Certified true copies and signature witnessing are done in person, because those acts have no remote regulation. Wills and powers of attorney are signed in person by our practice, on a mobile visit.
- Service area
- Online: signers wherever they are — any Ontario city, another province or another country — unless the form itself says where it must be signed. Mobile visits: the notary comes to the client anywhere in Ontario. Head office: Ottawa, Ontario; there are no client appointments at the office.
- Pricing
- Online: a flat $24.95 per notary seal plus HST, the same rate for the first and every additional seal, with a card processing fee at checkout. An online time that starts within 20 minutes of checkout adds a flat $8 instant booking fee plus HST; times booked further ahead never carry it. Mobile visits: the same $24.95 per seal plus HST, plus a $60 travel fee charged once per trip (up to 30 km from our nearest office in Ottawa or Toronto; beyond that, an additional travel fee applies). Wills and powers of attorney are priced as a bundle: $115 for one document, $200 for any two, and $240 for a will plus both powers of attorney, plus HST. The full list is at https://minutenotary.ca/pricing.
- Hours
- 8:00 AM - 8:00 PM, 7 days a week, Toronto time (America/Toronto). Online appointments average 3-4 minutes; the sealed PDF and a completion certificate are emailed shortly after, and anyone receiving the document can check it at https://minutenotary.ca/verify.
- Languages
- English and Vietnamese. The website is published in both.
- Founded and based
- Co-founded by Quan Nguyen and Kai Mai. Head office in Ottawa, Ontario, Canada.
Co-founders
Who to quote
Two co-founders, two different jobs. The notary speaks to what the law allows; the technologist speaks to how the platform works.
Quan Nguyen
Co-founder & Chief Executive Officer
Notary Public for the Province of Ontario and Commissioner for Taking Affidavits; licensed paralegal and member in good standing of the Law Society of Ontario (LSO #P21230). Commissions the affidavits, statutory declarations and oaths on the platform and leads the notarial practice.
Speaks to: Remote commissioning under O. Reg. 431/20, what a notary can and cannot do over video, affidavits and statutory declarations, documents for IRCC, travel consent letters.
Kai Mai
Co-founder & Chief Technology Officer
Runs the technology behind the platform: online booking, the secure signing flow, the electronic seal and the public verification page. Writes and edits the site’s guides; not a notary and holds no professional licence.
Speaks to: How an online notary appointment works end to end, document security and verification, building a legal-services platform in Canada.
